What staff see

They do not run Mia. If Coco is installed, their photo and about are what the client sees in the email. If a cancel was on them, Coco stamped the reason. They keep working in HighLevel.

  • Photo in the email = Coco profile, else staff object, else Media folder named with their name.
  • They do not get a send button. Production send is the owner’s.

What admin sees

The Custom Page — app.claudiafix.ai/mia. Campaigns have no face; this is where you decide who is proposed, and send stays off until you flip it. Clients only see the email. Staff do not get a send button.

  • Still on the team — propose last staff. Photo and booking link are theirs.
  • On vacation — propose covering staff (or the person this client booked most) until they are back. Then always go back to last staff.
  • Gone / left the team — never propose them. Propose the person this client booked most, or a replacement you name if they only ever booked the one who left.
  • Visit-count segments: 1 / 2 / 3 / 4+. Skip a segment = no send.

Onboarding reads appointment history so “booked most” is real. Upcoming appointment → no send.

Questions people ask

How is Mia different from a HighLevel campaign?

A campaign speaks as the business and knows nothing about who served the client. Mia writes in the voice of the staff member who served them last, with their photo, the service they had and a prefilled booking link, and it knows how many times the client came and when they are due.

What if the staff member is on vacation or left?

On vacation, Mia proposes the covering colleague until they are back, then returns to the last staff. If they left the team, Mia never proposes them and recommends the person the client booked most.

Will Mia send messages by itself after install?

No. Production sending is off until you turn it on for the location. Quiet hours, a per-contact cool-off and no-send-when-already-booked are on by default.

Does Mia handle abandoned bookings and unfinished calls?

Yes, when Leona is installed. You control the channel, the wait, the templates and the exclusions. It is never a text to every completed call.
